Tenants

A tenant is an isolated customer environment on a Centro server. Each tenant has its own users, locations, layouts, integrations and data — nothing is shared between tenants unless you deliberately copy it. On a multi-customer deployment, one tenant usually maps to one client or one property portfolio.

Tenant management is a Server Admin function. The tools below are not visible to tenant admins or ordinary users.

Add a tenant

  1. Go to Settings → Server → Tenants.

  2. Select Add Tenant.

  3. Enter a name and an identifier for the tenant.

  4. To start from an existing setup, choose a tenant to copy from. The new tenant is seeded with a copy of that tenant's configuration; otherwise it starts from Centro's defaults.

  5. Select Create.

Creating a tenant does a lot of work in the background. Centro seeds a full starter environment — default appearance and settings, an English (GB) language and locale, a default set of roles, an email template, standard device types and sample calendar resources — and initialises every installed integration. A new tenant is therefore usable straight away, not empty.

Email settings are deliberately not copied when you clone a tenant. Each tenant configures its own email provider, or falls back to the server's central email settings.

Edit a tenant

  1. On the Tenants page, open the tenant.

  2. Update its details on the General tab.

  3. Select Save.

Activate or deactivate a tenant

A tenant can be switched off without deleting any of its data.

  1. Open the tenant.

  2. On the General tab, turn Active off to suspend the tenant, or on to bring it back.

  3. Select Save.

A deactivated tenant keeps all its configuration and data — deactivation only suspends access. Use it to pause a customer environment rather than removing it.

Set the communication channel

Each tenant sends its email through one of three channels. Set this in the tenant's communication settings:

  • Centro — email is sent through Centro's central email provider. Nothing to configure per tenant.
  • Own settings — the tenant sends through its own email provider, configured under its Integrations → Email Settings.
  • Own and Centro settings — the tenant uses its own provider where configured and falls back to Centro's central provider otherwise.

Set usage limits

Limits cap what a tenant can consume. On the tenant's Limits tab you can set a maximum for:

  • Storage — total media and file storage.
  • Users — number of users in the tenant.
  • Locations — number of locations.

Each limit has an unlimited toggle. Turn it on to remove the cap, or off to enforce the value you enter. Limits are validated against the server's licence, so you cannot set a tenant above what the licence allows.

The stored user limit accounts for the tenant's existing admin users, so the effective figure can be slightly higher than the number you type.

Manage tenant users

On the tenant's Users tab:

  • Add a user — add an existing Centro user to the tenant. New members are given the tenant's default role, which you can change afterwards.
  • Remove a user — remove a user from the tenant. This removes their access to the tenant; it does not delete the underlying Centro account.

Delete a tenant

  1. Open the tenant.

  2. Select Delete.

Deleting a tenant permanently removes it and all of its data — users, locations, layouts, media and integrations. This cannot be undone. Deactivate the tenant instead if you only need to suspend it.
